When using Kotini with Reapit, we're able to push documents, data and notifications to the connected property record in your CRM.

To learn how to connect a case in Kotini to your properties in Reapit, read this guide.

Notifications

We'll create journal entries on your property records at key moments, saving you the hassle of leaving your CRM to check what's happened. Currently, we create these journal entries:

Journal entry

"A case has been created in Kotini for this property."

You'll see this when

You, someone in your team or an integration has created and set up a case in Kotini for this property. (We know the case is linked to this property as it's tagged with the Reapit property ID).

Example

Journal entry

"Your clients have joined Kotini and started the process."

You'll see this when

Your clients have accepted your invite to start onboarding and have reconfirmed their agreement with your privacy policy.

Example

Journal entry

"{document type} has been uploaded by Kotini"

You'll see this when

A document is uploaded by you, your team, a client or the Kotini system to a case linked to your property record. The {document type} will vary depending on the document uploaded.

Example

Journal entry

"This property has been updated with new data by Kotini."

You'll see this when

Your clients have finished their property information in Kotini and shared it with you. It'll often be accompanied by the document upload message, as it's also when we upload the material information and/or property information questionnaires.

Example

We're increasing the types of notifications we send to CRMs over time, if you'd like a specific type of notification that doesn't exist yet, let us know in the help chat.

Pushing documents

We'll send the documents uploaded to Kotini by you, your team, client or the Kotini system through to your property record in Reapit, and you can find them in the letters space. These documents are pushed as soon as they're added to the case in Kotini.

If you think you're missing a document, first check to see if you've got the journal entry for the document and double-check the letter space (shown in the image below). Finding documents in Reapit can sometimes be tricky.

Pushing data

We'll send the data we've collected from your clients and various other data sources through to your property record, populating the relevant fields for your listing. This data is pushed as soon as your client has finished all the questions and shared it with you.

You’ll often find that we collect more information than your property record can store, so the fields we populate will be a subset of what’s captured in the Material Information pack, the Property Information Questionnaire, and within Kotini itself.

You can read more about which information is pushed to Reapit in this help guide
